As we are constantly expanding, we are currently hiring to fill the following position for our office in Jakarta:

 

ADMINISTRATION OFFICER

(Code: AO)

 

 

Konservasi Indonesia is hiring Administration Officer as the Face of Konservasi Indonesia at Jakarta Office. S/he is responsible for greeting all visitors in accordance with local office procedures and directing them as appropriate. The Administration Officer manages the front desk tasks including respond to general telephone inquiries from the public, directing calls, taking messages as needed and to perform clerical administrative tasks to support Jakarta office such assist for meeting and/event preparation, overseeing meeting rooms calendars, prepare catering, etc.

KEY RESPONSIBILITIES:

·       Lead in the day-to-day maintenance of the office and its facilities, including ensuring an effective and safe working environment

·       Greet and screen all visitors. Answer all incoming telephone calls in a professional manner. Direct inquiries to an appropriate staff member or department.

·       Maintain meeting room schedules and respond to reservation requests in a timely manner. Manage and resolve competing requests for meeting rooms and ensure the conference rooms are clean and stocked with supplies and materials.

·       Maintain adequate stock levels of office supplies (office groceries, office stationery). Monitor the usage and re-order when supplies diminish to a pre-established level. Ensure that Konservasi Indonesia Jakarta office equipment and facilities are well maintained and function effectively as well as handle regular services.

·       In coordination with Senior Administration Coordinator lead procurement process such as: preparing procurement records/documents, obtaining competitive quotations, maintain/renewing Vendor List, etc.

·       Organize travel arrangements including domestic/international ticketing, accommodation bookings, transportation arrangements, for Konservasi Indonesia staff and guests according to internal policy and procedures.

·       Maintain the office vehicle logs and routine services. Ensure the office vehicle's license and insurance are renewed on yearly basis prior to expiration.

·       In coordination with Senior Administration Coordinator provide assistance with event setup as needed.

·       Perform related duties as assigned.

 

 

QUALIFICATIONS

  • Diploma in general management or administration or other related field.
  • Minimum of 4 years of general work experience in an office, administration, or customer service environment. 
  • Fluency in English and strong communication skills. 
  • Ability to work tactfully and effectively with a broad range of the general public and/or under minimum supervision.
  • Knowledge of MS Office (Excel, Word, PP, Ms. Teams, SharePoint) and Google Apps (Mail, Drive, Hangouts, etc.).
  • Experience with multi-line telephone systems preferred

 

PREFERRED

·       Knowledge of expatriate permits issue and providing translation (English-Indonesia, vice versa)
