The EcoNusa Foundation was established on July 21, 2017 in Jakarta. EcoNusa encourages the development of the capacity of civil society organizations to conduct advocacy, campaigns, communication, stakeholder engagement, and dialogue among stakeholders to meet the sustainable management of natural resources and promote transparency, conservation, and equality values. To achieve its mission, EcoNusa carries out several programs including Local Community Resilience, Policy Advocacy, Eastern Indonesia Communication Center, and Local Economic Development.

Job Type           : Full Time (1 year)

 

PURPOSE OF JOB

Under the direct supervision of the Human Resources Coordinator, personnel will provide effective and proactive support for HR and Operations unit activities. Personnel will work and coordinate closely with all directorates i.e. program, communications and operations and staff in all offices.


DUTIES AND RESPONSIBILITIES

 

1.      Provide support in the staff recruitment process: do long-listing; arrange candidate interviews and required tests; assist in conducting reference checks for shortlisted candidates; arrange induction for new staff and ensure exit clearance at the end of the contract.

2.      Assist in preparing work contracts for consultants, interns and freelancers.

3.      Responsible for updating the HR system (Odoo) and database (G-drive) and updating data regularly.

4.      Organize and keep personnel files properly and easily accessible (contracts, personal data, other supporting documents, etc.)

5.      Track staff attendance and leave in the HR System and report regularly to the supervisor.

6.      Request equipment (laptop, email, etc) for new employees to the Operations unit and  coordinate with the Communication unit for ID Card and website updates.

7.      Be a contact person for staff in responding to questions related to insurance and BPJS. Coordinate with insurance providers and BPJS for registration and termination, prepare and submit payments to the Finance unit.

8.      Prepare supporting documents for the payroll process (staff, consultants, freelancers, interns) and send staff payslips every month.

9.      Support for payment and tax reporting (Pph21) every month.

10.   Providing ideas and support regarding staff capacity building and other learning activities as well as updating capacity building data on the G-drive.

11.   Coordinate with the Admin & Operations Coordinator to assist in booking tickets and staff accommodation by ensuring the completeness of documents (TOR, boarding passes, etc.).

12.   Responsible for credit card payments every month and coordinating with finances.

13.   Coordinate with the Admin & Operations Coordinator to prepare logistical needs during activities (staff meetings, board meetings, etc.).

14.   Coordinate with the Admin & Operations Coordinator for office needs.


QUALIFICATION AND EXPERIENCES

·        A university degree from an accredited academic institution in Human Resources, Administration, Psychology or other related academics.

·        Minimum 2 years’ experience in Human Resources and Administration.

·        Proficient in computer applications; Experience working with Database or other HRIS software is an advantage.

·        Effective verbal and written communication skills and demonstrated ability to interact professionally with a team.

·        Excellent attention to detail and multi-tasking.

·        Good in English and Indonesian, both spoken and written.

WORKING RELATIONSHIP

Internal               : Close coordination with Econusa staff

External              : Close coordination with external (vendor, consultant, service provider, etc.)
