GIZ Indonesia for the GIZ Business Hub Indonesia - Hygiene and Behavior Change Coalition (HBCC): Driver and Office Assistant (duty based: Batubara, North Sumatera)

 The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH is a German public-benefit federal enterprise. GIZ works worldwide in the field of international cooperation for sustainable development and has over 50 years of experience in a wide variety of areas.

 

Schools in more than 180 countries worldwide are currently closed, offer only a limited service or are preparing for reopening and safe school operations for students and teachers. There is an urgent need to support schools with crucial adjustments to address the necessary infection protection measures in a post-pandemic context. The DeveloPPP programme of GIZ has partnered with the Hygiene and Behaviour Change Coalition (HBCC) (Unilever and DFID) to support the Government of Indonesia in implementing Pandemic Preparedness and Response (PPR) measures in schools. Specifically, personal hygiene (handwashing with soap) and environment hygiene (cleaning and surface disinfection). The programme will establish a replicable model for pandemic preparedness and response suitable for rapid and massive government-led scale-up. At the same time, this creates the conditions for developing training materials for the education sector so that measures can be integrated and scaled up throughout the existing education system.

 

To join the global movement for safe re-opening of schools GIZ is opening a new position for its Indonesia team. The place of duty is positioned in Batubara, North Sumatera.

Driver and Office Assistant

  

This driver and office assistant is aimed to support the administration office Batubara, North Sumatera.

 

Responsibilities

  • Safely and responsibly performing all official travel using official vehicles
  • Management of official vehicle matters (logbook, insurance, tax, STNK/car licence) and preparing vouchers vehicle-related accordingly;
  • Regularly maintenance and looking after official vehicles;
  • Taking account of all available information on road conditions, accessible routes and locations;
  • Keeping the office premises clean and tidy
  • Running official errands and assisting with other office services.

 

A.   Tasks

1.    Vehicle Management

Driving and chauffeuring

  • Drives office vehicles safely and chauffeur’s office staff, official visitors and guests to official destinations
  • Helps with transporting goods;
  • Completes the vehicle log book correctly and conscientiously in accordance with GIZ standards;
  • Does not use the car for his own private purposes at any time. Such miss-used of the vehicle is considered a serious misconduct and will immediately lead to a warning and may result in dismissal.

 

Services

  • Cleans the interior and exterior of the vehicles regularly;
  • Checks oil, water, brakes and brake liquid, tyre pressure, battery levels and the entire vehicle, monthly or every 5,000 km (whichever is first), headlights, brakes, bodywork for dents etc;
  • Responsible for the project vehicle documents and their good condition, keeps vehicle logbook on a daily basis and registers each monthly check
  • Calculate daily park and toll fees and settle the cash advance immediately after the trip took place 
  • Reports the need for maintenance and carries out minor repairs;
  • Immediately reports all involvement of the project or office vehicle in accidents, including minor accidents, damage, loss or theft of vehicle fittings.

 

Knowledge management

  • Uses all available information (including current radio broadcast on traffic conditions) to update daily knowledge of road conditions, current passable routes and locations, and shares this information with other office drivers.

 

2.    Office Services and Administration

General Services

  • Wears proper clothing
  • Runs errands, e.g.: buying lunch for office staff, if and as required
  • Assist in proper maintenance and repair of office premises and equipment
  • Reports major damages of office premises and equipment

 

Supports Office Communications and Administration

  • Makes photocopies and scans documents, if and when required
  • Supports the Administration and Finance Professional in collecting project funds from the bank, paying office bills, buying small quantities of office supplies & stationeries, if requested
  • Supports and checks office logistics (supplies & stationeries) and reports it to Junior Finance Professional
  • Supports office for messenger services, e.g.: sending letters and messages
  • Assists in the logistical management of the meetings, workshops and other activities of the project by documenting events (taking photos)
  • Supports the Administration and Finance Professional in filling and organizing supporting documents of project

 

Other duties/additional tasks

    • Assists other colleagues as needed if there is no duty travel and carries out other office work as assigned
    • Undertake further job training related to his position and duties, if required.

     

    B.   Required qualifications, competences and experience

     

    Qualifications

    ·         Secondary school education;

     

    Professional experience

    • Holds a valid driver’s licence is a MUST;
    • At least 3 years’ professional experience as a driver with references;
    • No major accidents in the past 3 years;
    • Discipline and punctualityresilience and patienceappropriate appearance and attire;
    • Very good knowledge and familiarity with Batubara, North Sumatera area and its suroundings;
    • Ensures unrestricted availability of vehicles at all times and reports restrictions immediately;
    • Sufficient knowledge of English;

     

    Essential skills, additional competences and other knowledge

    • Sufficient working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office);
    • Willingness to upskill as required by the tasks to be performed – corresponding measures is agreed with management.
